Can one school register multiple users?

Yes. A school administrator can add and manage users and roles inside your school’s own data space once the school workspace is created.

Can teachers access only their assigned classes?

Teacher access to student lists, attendance and marks is checked against teacher assignment records by the API.

Can parents view multiple children?

Yes. A parent can switch between children linked to their verified guardian profile. Unlinked student records are not returned.

Can receipts, reports and certificates be printed?

The platform generates printable fee receipts, certificate PDFs and supported PDF or Excel exports.

Can school branding be configured?

School settings support a logo, profile details, document prefixes and report footer preferences.

Is data separated between schools?

Yes. Every school works in its own data space. Your school is identified from the signed-in server-side session, and every operational query is scoped to that school, so a request can only ever return your school’s records.

Can administrators export records?

Authorised users can request supported student, attendance, fee and academic exports. Export access is permission controlled.

Can subscription plans be changed?

Platform administrators can change a school’s assigned plan and status. Self-service billing changes are not currently implemented.

Is prior class history retained?

Yes. Promotion, retention and transfer workflows preserve prior student enrollment placements.

Are partial payments supported?

Yes. The fee ledger supports partial allocations, printable receipts, controlled reversals and refund records.

Who can publish results?

What billing terms are available?

How long does setup take?

Setup depends on your school size and the records you are bringing across. We configure the academic year, classes, sections, subjects, staff roles, fee heads and document formats with you before your staff start daily use.

Can our existing student and fee records be brought in?

Existing records can be brought into the workspace during onboarding. Describe the records and formats you hold through the contact form and the team will confirm what is supported and how long it will take.

Can school branding be applied to documents?

Yes. Your school logo, profile details, receipt and certificate number prefixes, report footers and document templates are configured for your school and stay editable by your administrators.

How is the platform backed up?

SASA IT Solutions runs scheduled database backups with restore drills as part of the service. Schools do not manage backup infrastructure themselves.

How do we set up a new academic year?

A school administrator creates the academic year in school settings, then adds the classes, sections, subjects, grading scheme, timetable periods and rooms that belong to it. Marking a year active makes it the default for attendance, homework, exams and fees. At the end of the year, promotion and retention workflows move students into the next year while keeping their earlier placement history intact.

How do we add students and staff?

Students are added through the admissions screen, with profile details, guardian links, documents and class placement captured in one record. Staff are added with their role, qualifications and class or subject assignments, which is what decides the screens each teacher sees. Existing lists can be brought in during onboarding rather than typed one by one.

How do teachers mark daily attendance?

A teacher opens the class register for the day and marks each student present or absent in one pass. The saved register feeds student, parent and management views immediately. Corrections stay possible for authorised staff and are recorded with context, so a changed attendance mark is never silently overwritten.

How are exam report cards produced?

An administrator configures the exam and its grading scheme, teachers enter marks for the subjects they are assigned, and the system assembles marks sheets, grades and report cards from those entries. Results stay unpublished until the school publishes them, and reopening a finalised exam is permission controlled by school policy. Report cards can be printed or downloaded as PDF.

How are school certificates issued?

Your administrator configures certificate templates carrying the school’s branding and number prefix. Staff preview a certificate against a student record and issue it, which writes a permanent entry in the issue register. Any issued certificate can be reprinted from that register later, so the school always has a record of what was issued and to whom.

How do we collect fees and issue receipts?

Fee heads and structures are configured per class, then applied to students. Accounts staff post full or partial payments against a student ledger and print a numbered receipt at the counter. Outstanding balances are visible by class or student at any time, and reversals and refunds are recorded rather than deleted.

What does a school subscription include?

A subscription covers the full platform for your school: every production module, portals for administrators, teachers, students, parents and accounts staff, and the hosting, maintenance, updates and scheduled backups SASA IT Solutions runs for you. Each plan publishes its student and staff limits, storage and support level. There is no separate server, licence or installation cost on top.

How do we export our school data?

Authorised staff request exports from within the relevant module and download the generated file. Student, attendance, fee and academic records export to Excel, and receipts, report cards and certificates generate as PDF. Export access is permission controlled, so only the roles you authorise can take data out of the system.

What happens to our data if we stop subscribing?

The records remain your school’s property. Before a subscription ends, your administrators can export the student, attendance, fee and academic data they need to Excel or PDF, and the SASA IT Solutions team can assist with a full export on request. Your data is never sold, shared with other schools or used for advertising.
